Domain7 is looking for an amazing Administrative Assistant to add to our team, someone who contributes to the efficient day-to-day operations, supports the work of other Domain7 team members and represents the best of Domain7 to anyone coming in our doors. Everyone should receive an exceptional experience interacting with us. This role coordinates with others at Domain7 so teamwork and clear communication is critical.


Currently, during the Covid-19 pandemic, 90% of our team is working remotely, however we would anticipate that this role will require at least 2 days a week in our Abbotsford office.  This role is anticipated to be full-time and may require irregular hours and/or availability outside regular office hours, depending on Domain7’s needs.


Administrative Tasks. You will support members of our team with various administrative tasks, including:

  • Supporting our Accounting team 
    • Entering and generating AP/AR invoices, including matching, coding and filing documentation;
    • Liaising with vendors and customers to resolve issues and managing the AP/AR email; 
    • Entering data and maintaining the integrity of our online filing and accounting systems; 
    • Providing month end and ad hoc administrative support for Accounting team as required
  • Supporting our Project Management team
    • Data administration and maintenance 
    • Project setup in various systems
    • Maintain various employee and contractor records
    • Assist in managing calendars and appointment scheduling
    • Assisting with travel arrangements and reservations
  • Direct calls and respond to inquiries

Manage our Abbotsford office. You will manage our Abbotsford office space including the rental of our events space and coordination with prospective renters, specifically: 

  • Maintain a clean, tidy office environment
  • Monitor and manage office equipment and supplies
  • Make bank deposits

Engagement  and Celebrations. You will partner with the Operations team and others in the organization to plan, organize and support company celebrations and events, specifically: 

  • Coordinating /assisting special events and company activities
  • Plan and organize company events throughout the year, such as annual summer BBQ, employee anniversaries and birthdays, End of the Year Party and Company Offsite 
  • Support planning around the annual offsite and events budget 
  • Help to coordinate treats and special extras for the team

About you 

  • You have demonstrated knowledge and experience of office administration and basic bookkeeping procedures
  • You are an effective verbal and written communicator, active listener and have excellent interpersonal skills
  • You possess effective organization and time management skills
  • You bring strong attention to detail
  • You have a proven ability to make decisions and collaborate with others
  • You’re tech-savvy and proficient in Gsuite, Google Apps, Slack and etc
  • Have a strong desire to assist others and put your hand up for additional responsibilities when needed!
