Domain7 is looking for an amazing Administrative Assistant to add to our team, someone who contributes to the efficient day-to-day operations of the Domain7 Vancouver office, supports the work of other Domain7 team members and represents the best of Domain7 to anyone coming in our doors. At the forefront of the role, this individual is a key part of the Domain7 experience for employees, clients, partners and many others. Everyone should receive an exceptional experience interacting with us. This role coordinates with others at Domain7 so teamwork and clear communication is critical.

Currently, during the Covid-19 pandemic, 90% of our team is working remotely full-time. We are still making our events space available for rentals, so we anticipate that this role would have a mix of remote and in-office time.

This role is a 7-month Maternity leave cover with the potential to be extended. It may require irregular hours and/or availability outside regular office hours, depending on Domain7’s needs.

Responsibilities : 

This section outlines the key responsibilities of this role. In addition, Domain7 is looking for a strong team player who demonstrates a solid cultural fit.

Administrative Tasks. You will assist members of our team with various administrative tasks, including:

  • Data administration and maintenance 
  • Assisting with travel arrangements and reservations
  • Assist in managing calendars and appointment scheduling
  • Direct calls and respond to inquiries
  • Make bank deposits & communication with accounting 
  • Maintain various employee records
  • Maintain/track team licences, subscriptions 

Manage our Vancouver office. You will manage our Vancouver office space including the rental of our events space and coordination with prospective renters, specifically: 

  • Coordinate all Event Space / renter needs associated with event rentals and logistics 
  • Addressing tenant requests while acting as a go-between with building manager and subletting tenant in rented unit
  • Maintain a clean, tidy office environment
  • Monitor and manage office equipment and supplies

Engagement  and Celebrations. You will partner with the Operations team and others in the organization to plan, organise and support company celebrations and events, specifically: 

  • Coordinating /assisting special events and company activities
  • Plan and organize company events throughout the year, such as annual summer BBQ, employee anniversaries and birthdays, End of the Year Party and Company Offsite 
  • Manage the annual offsite and events budget 
  • Help to coordinate treats and special extras for the team

People Processes. You will collaborate and support People & Culture Specialist to create and facilitate an effective onboarding experience and process

  • Assist with Onboarding and Offboarding processes 
  • Ensure that every new team member has a great first day at Domain7 by ensuring they have their equipment,  welcome pack, email address active and access to relevant systems
  • Adhoc support as required
